Module in focus: Reservations and Lease management

“I need to use the projector for my presentation tomorrow morning. Can I book the meeting room on the 14th floor for this? I also need sandwiches for nine people. Who can arrange all this for me?” Are you used to hearing similar demands from employees on a daily basis? Diverse equipment is used on a daily basis within organisations. Larger organisations in particular make use of numerous spaces such as meeting and presentation rooms. To get on with their daily activities individuals may wish to loan objects for days at a time or book rooms for instance. Certainly it is desirable to ascertain the availability of objects and any costs involved. Yet keeping track of such affairs can often become rather complicated.

When an individual has loaned the projector for use in the presentation room on the 14th floor, and ordered sandwiches for Wednesday for instance, a manager undoubtedly wishes to keep track of this. When employees have the means to reserve objects themselves, they can view if and when the desired objects are available for use.

TOPdesk’s Reservations and Lease management module (formerly Lease management) was recently extended to include the option to reserve objects exclusively. Although the module retains many of its original functionalities, such as reporting and overviews, it now caters better to the requirements of both managers and end users. Overviews and reports provide insight into the current stock of objects as well as the availability of rooms within the organisation. Consequently decisions can be made regarding the need for new stock.
