Configuration management

An organisation consists of countless equipment, computers, software and other objects. Using Configuration management you can register and  manage these objects and ensure that the database is kept up to date. By means of detailed descriptions the objects and their mutual connections can be described.


Identify important objects

Every important asset receives an identification or a name. You are thus given a clear overview of all the objects that you support. TOPdesk distinguishes between five types of objects: hardware, software, telephone systems, network components and inventories. You can link objects to one or more persons, staff groups, branches or to a configuration. Configurations are a useful means to describe the relationship between objects. Via the Configuration card you can group a number of objects, for instance a workstation. You can also indicate which user works with which group of objects and where these are located in the organisation.

Registration of hardware in TOPdesk

In the Hardware card you can register all data which concern hardware objects. Information regarding purchase and guarantee, maintenance contracts and the persons who use the object is immediately available.

Configuration maintenance is linked to the Incident management process. On the Hardware card you can find an overview of the incidents which involve the object. The management of these processes is made very simple.


License management of software

The registration of software applications allows you to easily monitor the licenses. You have a clear overview of the available licenses, costs and the persons or machines that use these licenses. You can also see how many licenses are remaining. As soon as you do not have enough licenses left over, TOPdesk will help you analyse how many authorised licenses are used. Your license management will become considerably more efficient as a result.

Telephone systems, network components and inventory

TOPdesk Enterprise offers you the option to register your telephone systems, network components and inventories at a detailed level. The telephone network within your organisation can be registered on separate cards, including information concerning contracts, connections and maintenance. Depending on the level of detail within your organisation you can register hubs and switches on the Network components tab. On Inventory cards you can register assets such as office chairs, company cars and cupboards.


Location management in TOPdesk

TOPdesk offers you the option to link objects and users with each other. In this way TOPdesk gathers extensive information concerning the user and the location of an object. Location management in TOPdesk gives you a graphic representation of all locations within your branch and the persons and objects that are found at these locations. Via Location management you can open the object and person cards for a certain location.

PC scan with TOPsis

TOPsis is TOPdesk's automatic inventory program. It gathers technical data of workstations in your organisation. TOPsis can carry out a live scan of a PC or write the scan data to a temporary file. You can also include TOPsis in the login script of a workstation. It is also possible to carry out a manual scan of a workstation.



Every time you scan a workstation, TOPsis finds a large number of components. The majority of these components will be irrelevant to your daily work activities. TOPsis offers you the option to determine which components should be shown. Information concerning every component is saved in a reference database. When the same components are found on another workstation, TOPsis knows whether and how these should be displayed.
